What a duplicate-invoice check costs

What a duplicate-invoice check costs with us, from the free check in your browser to the Pilot, what drives the price, and what other vendors publish.

A first look is free: our duplicate invoice checker runs in your browser and shows the count and value of suspected duplicates. A full check on your own ledger is the Proof, from 1,500 euro and 5 working days, ending in a hold list with a reason on every row. Running it live in your systems is the Pilot, from 6,000 euro for 30 days.

The prices

StepPriceTimeWhat you get
Free checkerFreeIn your browserThe count and value of suspected duplicates. Nothing leaves your browser.
Prooffrom 1,500 euro5 working daysA hold list from your real ledger, a reason on every row, and the amounts already paid twice.
Pilotfrom 6,000 euro30 daysThe check live in your systems, measured against a baseline you agree first.
Carefrom 500 euro a month per live systemMonthlyMonitoring, fixes, small changes and a monthly accuracy report.

The Proof runs in shadow mode: it reads and reports, it writes nothing. It is graded by the 3 to 5 tests you write with us on day 1. Half is paid up front, the other half when it passes. If it fails and we can't fix it within 5 working days, the first half comes back. The Proof is credited in full against a Pilot booked within 30 days. You own the code. Prices are in euro, excluding VAT.

For the free check, drop a CSV or Excel export into the duplicate invoice checker.

What drives the price

  • How many ledgers. One purchase ledger is the simplest case. Several entities or systems means more to compare.
  • PDF invoices or not. Ledger rows are checked on written rules: supplier, invoice number, date and amount. Invoices that exist only as PDFs need a reading step first, the only place a model sees your data.
  • API or export. We read Xero, QuickBooks Online, Sage Business Cloud and Exact Online through their APIs. Sage 50, Sage 200, Dynamics 365 Business Central, Sage Intacct, NetSuite and SAP we read from their exports. CSV, Excel, Google Sheets, Postgres, MySQL and SQL Server work too.

If the scope changes, the new fixed price is in writing before any extra work starts.

What others charge, where they say

  • OverpayAlert calls itself duplicate invoice software for AP teams. Its site lists plans at 149, 349 and 599 dollars a month, the first for 1,000 invoices a month.
  • DupeInvoice lists a free plan for 50 invoices a month, paid plans at 19 and 99 dollars a month, and custom pricing above that.
  • Rossum, a document-reading platform, lists duplicate detection on its Business plan. Its pricing page shows a figure only for its Starter plan, from 18,000 dollars a year, and asks for a quote on the rest.
  • Xelix, AppZen and Stampli publish no prices. Their sites ask you to book a call, book a demo or request a quote. PRGX, a recovery audit firm, publishes no fees either and asks you to speak with an expert.

The published prices above are subscriptions, paid for as long as you use them. With us you pay for the build and own the code. Care is a choice: without it you keep the code, the tests and the runbook.

A worked example, on synthetic data

The sample hold list is what the Proof hands over on day 5. Every row is synthetic, shaped like a UK wholesaler's purchase ledger.

  • 20 sample invoices, 4 held, worth £7,860.35 before review.
  • A person checks each held row: 3 confirmed duplicates, 1 false alarm released. The false alarm is a monthly waste fee of £395.00, billed for a different month.
  • The amount held after review is £7,465.35, the amount that would have been paid twice.

On your ledger, the day 5 result states these totals in your currency.
